The Contract Administrator is responsible for guiding new deals through the contract process, from award through execution. The position works cross functionally with all departments to make sure that our clients get the highest level of service and support, expediently and efficiently. Our work is relationship driven, but operationally minded.


As a Contract Administrator you will be involved with the following activities:


Prequal

  • Work with all departments to gather the required information to make sure AJ Madison is prequalified to bid on contracts including: references, insurance paperwork, financials etc.
  • Proactively address any outstanding issues to ensure prequal are approved by clients

Contract Activation

  • Gather and complete all the information required by clients to ensure contracts can be executed – COI, OCIP documents, submittals, etc.
  • Manage new client on boarding process
  • Push contracts through the various internal and external approval process to ensure successful and timely review.
  • Proactively identify (and resolve) issues which may delay contract execution

Insurance & Bonding

  • Work with insurance broker to deliver all the insurance certificates required on a continuous basis.
  • Work with insurance broker to complete bonding documents when required

Finance & Requisitions

  • Create Statement of Values for all new contracts
  • Process credit and payment applications
  • Prepare and submit payment requisitions
  • Make sure that requisitions are submitted in a timely and accurate manner.

  • Proactive in its approach - role is quite autonomous and requires a candidate that will proactively respond to issues.
  • Comfortable with numbers & excel.
  • Organized and meticulous; process oriented.
  • Ability to professionally represent AJ Madison with its clients – whether in person or on the phone.

Experiences

  • Understanding of construction process either in a support or project management role a plus
  • Background in bookkeeping or accounting a plus
